Privacy Policy

VoltEstimate is estimating software for solo electricians and small electrical businesses. We take your privacy seriously and are committed to handling your data honestly and transparently.

Account data: Your email address and password (stored hashed) when you create an account.

Business profile: Business name, phone number, email, license number, and logo — entered voluntarily in Settings to appear on your estimates.

Client and estimate data: The client names, contact details, job descriptions, prices, and estimate content you enter into the app. This is your business data.

Usage data: Basic information about how you use the app (e.g., pages visited, features used) to help us improve the service. We do not use third-party analytics unless you have explicitly consented to non-essential cookies.

Cookies: Essential cookies required for authentication and session management. No tracking or advertising cookies are loaded without your explicit consent.

To provide the service (contract performance): We need your account data and the estimates/client data you enter to operate VoltEstimate. Without this, the service cannot function.

Legitimate interests: We maintain basic usage data to keep the service secure, fix bugs, and understand how features are used. We balance this against your privacy interests.

Consent: Where we rely on consent (e.g., non-essential cookies), you can withdraw it at any time — your choice does not affect your use of the core service.

We use your data only to operate VoltEstimate:

• Authenticate your account and keep it secure
• Display your business profile on estimates and PDFs
• Store and manage your client records and estimates
• Send estimate and follow-up emails to your clients on your behalf
• Send you transactional emails about your account (e.g., password reset)
• Process subscription payments (via third-party payment processor)
• Improve the service

We do not sell your data. We do not use your data for advertising.

When you send an estimate or enable automatic follow-ups, VoltEstimate sends emails to your clients using the contact details you provide. You are responsible for having a lawful reason to contact your clients and for ensuring the email addresses you provide are accurate.

Subscription billing is handled by a third-party payment processor. When you subscribe, you enter your payment details directly with the payment processor — your full card number never passes through or is stored on our servers. We receive only non-sensitive billing confirmation data (e.g., subscription status, last 4 digits of card).

Your data is stored on managed cloud infrastructure with encryption in transit (TLS) and at rest. We apply reasonable technical and organisational measures to protect your data against unauthorised access, loss, or disclosure.

No method of transmission over the internet is 100% secure. While we take your security seriously, we cannot guarantee absolute security.

We share data only with service providers necessary to operate VoltEstimate:

• Cloud infrastructure providers — for hosting and data storage
• Payment processor — for subscription billing (they handle payment data independently)
• Email delivery providers — to send emails on your behalf to your clients

We do not share your data with advertisers, data brokers, or any party for marketing purposes.

VoltEstimate's infrastructure and some of its service providers operate in the United States and other countries. Your data may be processed outside your country of residence, including outside the European Economic Area (EEA) or UK.

By using VoltEstimate, you acknowledge and consent to this international transfer. Where required by law, we ensure appropriate safeguards are in place for these transfers.

Regardless of where you are located, you have the right to:

• Access — request a copy of the personal data we hold about you
• Correct — ask us to fix inaccurate data
• Export — receive your data in a portable format
• Delete — request deletion of your account and associated personal data
• Withdraw consent — where processing is based on consent, withdraw it at any time without affecting your use of the service
• Object or restrict — object to or request restriction of processing in certain circumstances

These rights apply regardless of your country, and we honour them. To exercise any of these rights, email privacy@voltestimate.app. We will respond within 30 days.

EU/UK users: if you are not satisfied with our response, you have the right to lodge a complaint with your local data protection authority (e.g., your national DPA in the EU, or the ICO in the UK).

You can delete your account and all associated data in two ways:

• In-app (instant): Go to Settings → Danger Zone → Delete my account. Type "DELETE" to confirm. Your account and all data (estimates, clients, jobs, price book) are permanently and immediately erased. You will be signed out automatically.
• By email: Email privacy@voltestimate.app with subject "Data Deletion Request" — we respond within 30 days.
• Via Contact form: voltestimate.app/contact

Note that some data (e.g., billing records) may be retained for a limited period where required by law.

We retain your data for as long as your account is active. If you delete your account, we will remove your personal data within 30 days, subject to any legal retention obligations.

VoltEstimate is not intended for use by anyone under 18. We do not knowingly collect data from minors.

We may update this Privacy Policy from time to time. We will notify you of material changes by email or via an in-app notice. Continued use of VoltEstimate after the effective date of changes constitutes acceptance of the updated policy.
